Alpha Checklist lets teams standardize work in Jira with reusable checklist templates, automatic rules, workflow validation and progress tracking. It runs natively on Atlassian Forge, so your data stays inside the Atlassian cloud. This guide explains how to use it end to end.
1. Install the app
Install Alpha Checklist from the Atlassian Marketplace. After installation, a Checklist panel becomes available on Jira issues, and administration pages appear under Apps and in project settings.
2. Create a checklist template
Open Apps → Checklist templates (project admin view) or Apps → Checklist administration (global admin view). On the Templates tab, click Create template and:
- Give the template a name and description
- Add items, mark some as required, and add separators to group sections
- Choose availability: all enabled projects or specific projects
- Save the template
3. Apply a checklist to an issue
Open any Jira issue and use the Checklist panel. Select a template and apply it. The checklist appears on the issue with a progress bar. You can also add manual items if allowed in the settings.
4. Track progress and required items
Check and uncheck items as work is completed. The progress bar and counter update automatically. Required items are highlighted so the team can see what still needs to be done before the issue can move forward.
5. Automate with rules
On the Rules tab, create automatic rules that apply a template based on issue data — for example, by project, issue type, a field value, or a cascading field. When a matching issue is created or updated, the checklist is applied automatically.
6. Enforce with workflow validation
Add the Checklist validator to a workflow transition in Jira. It blocks the transition when required checklist items are still pending — or when a specific required item is not completed — ensuring your process is followed at every step.
7. History and audit
Every action (applying a template, checking an item, removing a checklist) is recorded in the issue's checklist history, kept separate from Jira's activity log. Administrative changes (templates, rules, settings) are recorded in the admin logs.
8. Advanced features
The single plan also includes:
- Item dependencies — an item is unlocked only after its prerequisite is completed
- Recommended deadlines (SLA) — a suggested time per item, with risk and overdue indicators
- Per-item time logging — record hours worked on each item
- Time balance — compare planned versus actual time
9. Permissions and settings
Jira administrators always have access. You can delegate global app administrators, control which projects can use checklists, and configure options such as allowing manual items or requiring confirmation before replacing a checklist.
